The importance of up-to-date Domain ownership information

Domain names are among, if not the most, important assets that a company owns.  Unfortunately, corporations tend to inadvertently jeopardize their domains by not making sure their domain’s ownership information is current and reflects the information that should be included.  Companies may change their business address, phone number, or e-mail address due to changes in the organization’s structure and reassignment of positions within the company’s human resources.  A great deal of companies either forget or give less importance to changing the ownership information under their domains to reflect such organizational changes.  Below are some critical points that explain what could happen if your domain’s ownership information is not always up-to-date:

  • Registrars may Cancel your Domains – As per ICANN’s (the organization responsible for managing the assignment of domain names) requires that all domain registrars (the company that you registered your domain through) contact their clients and remind them to make sure their domain ownership information under WHOIS (term used to query and identify a domain’s registration information including ownership contact details) reflects current and up-to-date information of the domain owner.  If the registrar finds out that you are using incorrect information, they will suspend your domain.  Failure to comply MAY RESULT IN THE CANCELLATION OF YOUR DOMAIN!
  • Disgruntled and/or former employees may have access to your Domains – If your company’s domain name was registered by a former employee who may have used his/her name and private e-mail address, they could request a transfer of ownership from your registrar.  In theory, whatever name and e-mail that appears under the WHOIS information can be considered the owner of the domain.
  • Domain Names that have incorrect information can be easily hijacked and stolen – If your domain is registered under an e-mail that no longer exists (eg. some-name@Gmail.com), then someone could register that e-mail address, request a domain transfer and pull the domain name out of your account.

Why your Domain should always be registered under your name

Your domain name is a valuable asset that is no different than any other property you own.  Your domain is your presence on the Internet.  It’s your gateway to today’s business world.  There may be reasons why you may have your domain registered and managed by an external entity.  Your web designer may be taking take of your web presence, or you think it’s just something too technical for you to handle.  Registering and managing your domain under a 3rd party could jeopardize your rights to the domain name.  Here are some reasons why your domain assets should be registered and managed within your organization:

  • A domain that is not registered under your name and address may not be legally proven to be yours shall a dispute between you and the domain holder arise.
  • In the event that you file an arbitration case against a registrant who is infringing on your brand through a domain name, your initial domain name can’t be used to prove your company’s ownership of the initial domain that conflicts with the infringing domain.
  • Simply stated: If the domain is not registered using your name, company, address, and some of the important contact details, then it is not yours.

  • Your prospects will trust you and give you Business – While not all people are Internet savvy, a large portion of your prospects will research your company through Google.  Most domain service companies will have a record of your domain name which will most probably appear within search results.  These sites will provide till what date you have the domain registered for (look for DomainTools.com and AboutUs.org). Registering your domain years in advance gives the people a warm feeling that you will be there for them and you’re implying that you’ll be open for a long time.  Most scam start-ups register their domains a year at a time.
  • Google and other major search engines get to know that you’re serious – Domains with shorter registration periods are given less significance in ranking compared to those with greater years ahead.  Google wants to provide quality links in search results, and those usually come from sites that have committed to that.
